Email List Hygiene Calculator: Know Your True Deliverable List Size

The size of your email list and the size of your deliverable list are rarely the same number. Every list contains a mix of active subscribers, disengaged contacts, invalid addresses, spam traps, and unsubscribed users. Sending to the full list rather than the deliverable subset is one of the most common causes of deliverability problems — and one of the easiest to prevent.

Why List Hygiene Directly Impacts Deliverability

ISPs evaluate sender reputation on a per-send basis. When you send to a list with 40% inactive contacts, those contacts have a much higher probability of marking your message as spam, ignoring it (which Gmail counts negatively), or triggering spam trap hits if any inactive addresses have been recycled. The resulting high complaint rates and low engagement signals train ISP filters to route your mail to spam — for all your recipients, including the active ones.

Engagement-Based Segmentation

Divide your list into tiers: Active (opened in 90 days) — highest deliverability, use for all campaigns and IP warming. Lapsing (opened 90-180 days ago) — acceptable for most campaigns with a re-engagement message. Inactive (180-365 days) — use only for re-engagement campaigns, suppress from regular sends. Dormant (1+ year) — suppress entirely unless running a dedicated reactivation campaign with explicit consent confirmation.

Before IP Warming: Hygiene Is Non-Negotiable

IP warming requires starting with your most engaged subscribers. Sending to a cold, unverified list from a new IP will get you blacklisted before you complete the warmup schedule. The 90-day active segment is the right foundation. Check your IP reputation and bounce rates in parallel to ensure infrastructure is clean before warming.
